eKFS – Go-Live Plans and Related Activities
Target Audience: KFS Users
Per email announcement from the VP for Budget and Finance and CFO, Luis Salaveria, and VP for IT and CIO, Brad Christ, the deadline to switch over from Kuali Financial Systems (KFS) to the Kuali Cloud (eKFS) set for July 2026 was delayed. Teams have continued to work tirelessly to complete testing and resolve the identified issues, and the transition to eKFS is now being targeted for October 2026.
We understand the inconvenience of halting operations during a system shut down, and it has been taken in full consideration when the revised go-live date was selected. With any conversion there will be disruption to your operations, but throughout this project we have identified those issues, made adjustments and have provided training on areas of impact.
We will be conducting the next Dry Run process during the month of August, followed by a Dress Rehearsal (final Dry Run) in September. Completing these dry runs will provide teams with further clarity on the conversion processes, as well as reassurance that everything is working as expected for the go-live in October. We are reducing high-risk items and resolving technical bugs/issues to ensure a smooth transition to the upgraded environment. With added resources to support eKFS, we will be sure to increase communications and updates to our users as well.
eKFS user guides are continuously being uploaded on our website, Training – Fiscal Services page. They will be listed separately from the KFS user guides, in alphabetical order with any related appendices and/or training videos. The KFS user guides will continue to be available until we convert to the new eKFS system. Please note that Âé¶¹´«Ã½login will be required to access these resources for security purposes.

Clean Up Old KFS Pending Documents: Round Three
Target Audience: KFS Users
As we continue preparations for the migration of KFS to the Kuali Cloud (eKFS) in a couple of months, we will proceed with the clean-up of old pending documents on September 4, 2026, which includes automatically disapproving all ENROUTE documents that were initiated between July 1, 2025 through December 31, 2025.
To assist with this essential effort, please take action prior to August 31, 2026: Review your KFS Action List and cancel or disapprove any old documents (SAVED or ENROUTE) that are no longer required.
A list of all auto-disapproved documents will be in your PageCenterX (PCX) FOxxx folders, with an additional email from FSO for documents that could not map to your FOxxx folder.

Proposed changes include:
- Addition of information on Remote Deposit Capture; addition of Appendix D, Remote Deposit Capture Deposits - Policy, Procedures and RDC Attestation
- Link provided to Kuali Build Form for (it was previously a PDF form)
- Added Appendix C - PCI Compliance Rider Template, which is referenced in AP 8.701, Appendix B

Effective 7/1/26: Federal Allowable Mileage Rates
Target Audience: Fiscal Administrators
Effective July 1, 2026, the Federal allowable standard mileage rate for business has increased to 76.0 cents per mile. Business mileage claims of 76.0 cents per mile are to be processed on the Personal Automobile Mileage Voucher, DISB-33. The form DISB-33 can be found on the Travel Forms page.
The standard mileage rate of 72.5 cents per mile is still applicable to mileage incurred from January 1, 2026 to June 30, 2026 (Comptroller’s Memorandum No. 2026-01).
