In 2021, Google announced a new storage policy, which will result in our Google domain moving from unlimited storage to pooled storage across all Google@鶹ýaccounts by July 2024. As a result of Google’s change to pooled storage, as well as the discovery of some misuse of Google@鶹ýresources, changes to Google@鶹ýservices will be made over the upcoming year to help manage the amount of our pooled storage being used. Faculty and staff accounts are automatically licensed for Google Workspace for Education Plus and no additional action is required to take advantage of these features. Multi-Factor Authentication

The FTC and includes a number of requirements to protect “nonpublic personal information”. It specifically requires use of Multi-Factor Authentication (MFA) “for anyone accessing customer information” on our systems. The updated rules officially take effect on June 9, 2023. MFA is available for all 鶹ýstudents, faculty, and staff. Several services require the use of MFA in order to help better ensure the security of personally identifiable information (PII), including confidential student information (through Banner 9 Admin Pages) and your own personal information (the statewide Payroll system – Hawaii Information Portal, or HIP, and PeopleSoft HR 9.2 self-service). We encourage all faculty and staff to sign up for MFA now. 鶹ýLogin and MFA allows for web browsers to optionally remember MFA for 7 days.

Utilizing web conferencing technologies, instructors will be able to teach half of their students face to face and the other half through online synchronous technologies like Zoom. Technology is used everywhere – in our personal lives, school and business. Hackers and malicious actors are constantly looking to acquire your personal information and to compromise your computers, smartphones, smart TVs, networks and any other types of electronic technologies. You must be vigilant at all times!

Common tactics used by attackers to acquire your personal information and compromise your computers are:

  • Phishing emails (sending fraudulent emails appearing to be from legitimate businesses or trusted contacts attempting to get you to provide your personal information)
  • Malicious software (including ransomware and viruses) usually acquired by visiting infected websites or via phishing emails
  • Brute force password cracking (automated attempts to guess your password)

The best way to protect yourself is to:

  • Update your computer’s software and applications regularly
  • Use strong passwords (and use UH’s Multi-Factor Authentication to protect your 鶹ýcredentials)
  • Use anti-virus software and update it regularly
  • Be suspicious of any unusual/suspicious communications (emails, phone calls, text messages, etc.)
  • Click on links only from trusted senders (hover over the link to view the URL redirection and, if in doubt, DO NOT click it)

And:  Remember to Share With Care!

  • What you post can last a lifetime: Before posting online, think about how it might be perceived now and in the future and who might see it.
  • Own your online presence: Set the privacy and security settings on web services and devices to your comfort level for information sharing. It’s okay to limit how and with whom you share information.
  • Be aware of what’s being shared: Be aware that when you share a post, picture or video online, you may also be revealing information about others. Be thoughtful when and how you share information about others.

Proofpoint

鶹ýwill be implementing Proofpoint in 2023. Proofpoint is an industry leading email gateway that will help to automatically identify phishing and spam emails using advanced machine learning to better protect you from email attacks and malware delivered via malicious links. 鶹ýUsername Password Practices

In December 2021, ITS took steps to strengthen the security of 鶹ýUsernames by introducing two password requirements which:

  • Prevent the re-use of previously used passwords
  • Prevent the use of known-compromised passwords

When creating or changing your 鶹ýUsername password, you will be informed if the password you have selected does not meet the requirements and will be asked to select a different password. The ITS Cyber Hygiene Best Practice recommends that you update your password after 365 days if not using Multi-Factor Authentication (MFA).

Laulima

Laulima is our online learning management system (LMS). Laulima enables you to create an online course with enrolled students. This includes uploading materials, creating assignments, grading, and communicating with students. Laulima can also be used to supplement a face-to-face course. A “live” course site is automatically created and added to your account when your assigned course is recorded into Banner.

LMS Review Process

The University of Hawai’i System is exploring new learning management systems (LMS) to potentially replace Laulima. All 鶹ýstudents, faculty and staff are invited to participate in reviewing the three platforms being considered.

All members of the 鶹ýcommunity can participate in the review process in multiple ways by:

  • Attending vendor demonstrations synchronously via Zoom, or recorded for asynchronous viewing.
  • Attending LMS review town hall sessions offered throughout the month of February.
  • Providing feedback through the LMS Consider.it forum, which will open in February.

Updated 鶹ýUsername Password Practices

As of December 27, 2021, ITS has taken steps to strengthen the security of 鶹ýUsernames by introducing two new password requirements which:

  • Prevent the re-use of previously used passwords
  • Prevent the use of known-compromised passwords

When creating or changing your 鶹ýUsername password, you will be informed if the password you have selected does not meet the requirements and will be asked to select a different password. While existing 鶹ýUsername passwords will not be affected unless changed or updated, the ITS Cyber Hygiene Best Practice recommends that you update your password after 365 days if not using Multi-Factor Authentication (MFA).

Laulima

Laulima is our online learning management system (LMS). Laulima enables you to create an online course with enrolled students. This includes uploading materials, creating assignments, grading, and communicating with students. Laulima can also be used to supplement a face-to-face course. A “live” course site is automatically created and added to your account when your assigned course is recorded into Banner.

Laulima has been updated to a new version for Spring 2022. Features include a new Date Manager to edit your site’s dates in batch and document preview feature in the Assignments grader interface. With Date Manager you can quickly set up your class by importing content from a past semester then bulk change due dates.

Videoconferencing Technology in Classrooms

Over the summer videoconferencing technology was installed into many classrooms at campuses system wide, making many rooms on campuses ready for Hybrid synchronous learning. Utilizing web conferencing technologies, instructors will be able to teach half of their students face to face and the other half through online synchronous technologies like Zoom. Check with your campus IT or media department to see which classrooms on your campus are ready for synchronous online learning.

Technology is used everywhere – in our personal lives, school and business. Hackers and malicious actors are constantly looking to acquire your personal information and to compromise your computers, smartphones, smart TVs, networks and any other types of electronic technologies. You must be vigilant at all times!

Common tactics used by attackers to acquire your personal information and compromise your computers are:

  • Phishing emails (sending fraudulent emails appearing to be from legitimate businesses or trusted contacts attempting to get you to provide your personal information)
  • Malicious software (including ransomware and viruses) usually acquired by visiting infected websites or via phishing emails
  • Brute force password cracking (automated attempts to guess your password)

The best way to protect yourself is to:

  • Update your computer’s software and applications regularly
  • Use strong passwords (and use UH’s Multi-Factor Authentication to protect your 鶹ýcredentials)
  • Use anti-virus software and update it regularly
  • Be suspicious of any unusual/suspicious communications (emails, phone calls, text messages, etc.)
  • Click on links only from trusted senders (hover over the link to view the URL redirection and, if in doubt, DO NOT click it)

And:  Remember to Share With Care!

  • What you post can last a lifetime: Before posting online think about how it might be perceived now and in the future and who might see it.
  • Own your online presence: Set the privacy and security settings on web services and devices to your comfort level for information sharing. It’s okay to limit how and with whom you share information.
  • Be aware of what’s being shared: Be aware that when you share a post, picture or video online, you may also be revealing information about others. Be thoughtful when and how you share information about others.
  • Guard your date of birth (DoB), telephone number, and other private information: Things like your DoB, phone number, and mother’s maiden name are important pieces of information used for verification. If a site asks for this information, consider whether or not sharing this information is absolutely necessary.

Multi-Factor Authentication (MFA) is available for all 鶹ýstudents, faculty, and staff. Several services require the use of MFA in order to help better ensure the security of personally identifiable information (PII), including confidential student information (through Banner 9 Admin Pages) and your own personal information (the statewide Payroll system – Hawaii Information Portal or HIP, and the upcoming PeopleSoft HR 9.2 self-service). We encourage all faculty and staff to sign up for MFA. 鶹ýLogin and MFA have been recently updated to now allow for web browsers to optionally remember MFA for 7 days.
